DSV Operational Outages

If you are an Owned Supplier (non-DSV), you must contact your Category Specialist to discuss facility closures.

As a vendor, you may have an occasional day where you are not planning to ship packages (planned closure) or there is an unexpected event that prevents you from shipping packages that day (unplanned closure). Whether you have planned or unplanned operational closures, you must set them in Supplier One. Setting operational outages will prevent potential backlogs of late orders, chargebacks, and, most importantly, disappointed customers.

Federal holidays are set by default in all supplier accounts. You will only have to adjust those holidays if you are planning on receiving and fulfilling orders on those days. Keep in mind that most carriers do not pick up packages on federal holidays, so we encourage all suppliers to retain the defaults.

Planned Outages

Planned facility closures include inventory audits, scheduled equipment upgrades, national or religious holidays, and other situations where an outage is required. For planned warehouse closures:

  • Set a holiday for the closed date(s) in Supplier One (see instructions below).
  • Once you set the operational outage in Supplier One, create a case with Partner Support to notify us of the scheduled closure (at least 14 days in advance) and to ensure the holidays have been synced with our internal systems.

Unplanned Outages

Unplanned facility closures include severe weather issues, snow, floods, fires, power outages, and other uncontrollable factors. For unplanned facility closures:

  • Immediately set the closure date(s) directly in Supplier One (see instructions below).
  • Set a generous timeframe to isolate the impact of the event and enable yourself time to catch up on shipping. Partner Support can always remove outages once operations are back to normal.
  • Once you set the closure in Supplier One, create a case with Partner Support to notify us of the unplanned closure and to ensure the outage has been synced with our internal systems.

View Operational Outages

You can view your holiday settings in Supplier One by clicking Account at the top right corner and selecting Supplier Profile. On the Supplier Profile page, click the Logistics tile and select Facility Information. Then, select the facility you wish to view to expand the selection. Click on the facility.

Select a contact and click Continue to view Operational Outages.

Add Operational Outages and Holidays

In the expanded distribution facility view, scroll to Holidays and closures. This displays the closures (default and manual) for this facility. You will only see the outages set for the calendar month displayed on the left side of the screen. If you want to see if you have set time off in another month, simply scroll through the calendar. 

Click Add Date to create both planned and unplanned operational outages for your business needs. You will see a date selector appear to enter the reason for your closure (inventory, facility updates, etc.) and the date you will be closed. Fill out the boxes and select Apply at the bottom of the window.

If you need to set closures for multiple locations, you must update each facility individually.

If you wish to close your facility for multiple days, you will have to repeat the process above for each day. Please note that you must set facility closures a minimum of 48 hours in advance. 

Remember: You are pushing the shipping of the orders you receive during your facility closure to the next available business date. Make sure you are prepared to handle a possible increase in order volume.

Remove Operational Outages

Deselect the check box under Closed for shipping. Simply clicking on the "X" to the left of the date does not remove operational outages.

Operational Outage Considerations

  • When a closure date is set, you will continue to receive orders as usual, but the Expected Ship Dates for any orders placed are pushed out to the next available shipping day.
  • Setting an operational outage (holiday) essentially blocks off that day as a shipping day, which manages customer expectations for delivery dates.
  • Holidays do not negatively impact potential sales as your items are still on the site. However, the expected delivery dates presented to customers are adjusted around your outage.
  • Even if your distribution facility is operational during severe weather, carriers may not be able to fulfill pickups that day.
  • If you have advance notice of potential weather issues that may lead to order processing and carrier pickups delays, it’s best to notify Walmart and set an operational outage. We can always remove the outage if the weather issue never materializes.
  • When major inclement weather issues arise, you may receive a notification from Walmart to let you know that an emergency operational outage has been set on your behalf. If you receive this notice, please read it thoroughly to determine whether you want to keep or remove the emergency operational outage. Before you decide to remove the emergency outage, check with the carriers in your area to ensure that they are able to make on-time pickups for that day. If carriers are expecting delays, it is best to keep the emergency operational outage.

Support

For questions regarding holidays, operational outages, setting multiple-day outages at once, or for multiple distribution centers, create a case with Partner Support. Include the following information when submitting your case: 

  • Distributor ID(s): 112233, 11223303, 11223305, etc 
  • Dates of closure: October 8-9, 2024
Please be sure to request your closures well in advance so it can be handled by the support team. Support cases are handled in the order that they are received, and the Partner Support team strives to resolve your issues as quickly as possible.
